Terms of Service

These terms explain what applies when you use Eventboende as a guest or host, and what responsibilities each party holds.

1. Introduction

Welcome to Eventboende! These Terms of Service ("Terms") govern your use of our website and services. By using Eventboende you agree to these Terms.

Eventboende is an independent marketplace for private accommodation during events in the Mora and Sälen region. The service is not an official part of Vasaloppet's operations.

Eventboende is an intermediary service connecting guests and hosts for accommodation during Vasaloppsveckorna and related events. The platform is aimed at private individuals and non-profit associations providing accommodation, and at guests seeking local accommodation during events. The accommodation agreement is entered into between the guest and the host. Eventboende is not a party to that agreement.

Once a booking has been accepted by the host, the platform sends the guest a payment link. Eventboende receives the guest's payment in the host's name and on the host's behalf, under the mandate granted by the host in section 4.3. The guest's payment to Eventboende therefore discharges the guest's obligation to the host — the guest has paid in full once the payment is completed, even if the funds have not yet been forwarded to the host. The funds belong to the host until payout and are recorded by Eventboende as a liability to the host, not as its own revenue. Eventboende's own revenue is the service fee.

2. Service status

The service is under continuous development, which means:

  • Functionality and workflows may change or be updated without prior notice
  • Payment is handled via the platform's payment link after a booking has been accepted by the host
  • A service fee may apply and is always shown before the guest makes payment
  • Refunds are currently processed manually by Eventboende
  • We collect feedback to improve the service
  • These Terms may be updated over time

For material changes, we will notify users by email or through a prominent notice on the platform.

3. Scope of service

Eventboende is an intermediary platform that:

  • Provides a platform for private individuals and non-profit associations to list their accommodation
  • Enables guests to search for and book accommodation
  • Receives the guest's payment in the host's name and on the host's behalf, and forwards it to the host after the stay
  • Charges the guest a service fee for the brokerage, in its own name
  • Administers, on the host's behalf, the payment and cancellation terms the host has accepted
  • Provides communication tools

Eventboende is not:

  • A party to the agreement between guest and host
  • The seller or provider of the accommodation
  • Responsible for the quality, safety or legality of listings
  • Responsible for the condition of accommodation or hosts' conduct
  • A guarantor that accommodation will meet guest expectations

4. User responsibilities

4.1 Eligibility

To use Eventboende you must:

  • Be at least 18 years old
  • Have legal capacity to enter into binding agreements under Swedish law
  • Not be prohibited from using the service under applicable legislation

By creating an account and using the service you confirm that you meet these requirements.

4.2 General

You are responsible for:

  • All information you provide on the platform
  • Keeping your login credentials secure
  • All activity that occurs through your account
  • Complying with Swedish law and local regulations

4.3 For hosts

The service is aimed at private individuals and non-profit associations who temporarily rent out their own accommodation. The accommodation agreement is made directly between you as host and the guest.

As a host you agree to:

  • Provide accurate and truthful information about your accommodation
  • Have the right to rent out the accommodation you list
  • Comply with local rules and regulations for rental
  • Honour your commitments to guests
  • Treat guests with respect and without discrimination
  • Apply the standard payment and cancellation terms set out in section 7 towards your guests
  • Tell us if you are or become VAT-registered for your letting, before letting again through the platform

4.3.1 Mandate to receive payment

By publishing a listing, and again by accepting a booking request, you instruct and authorise Eventboende to, in your name and on your behalf:

  • receive the guest's payment for the accommodation, cleaning fee and add-ons
  • issue refunds to the guest out of those funds where the cancellation terms in section 7.2 entitle the guest to one
  • issue the guest a receipt for the accommodation portion in your name, and provide you with a payout statement for your own bookkeeping

The guest's payment to Eventboende discharges the guest's obligation to you. The funds received belong to you and are held in an account separate from Eventboende's operating account until payout. Eventboende takes no compensation out of your share — the service fee is paid by the guest on top of your price.

4.3.2 The standard terms

The payment and cancellation terms in section 7 form part of the agreement you enter into with the guest. You accept them when you publish a listing and again when you accept a booking request, and they then apply identically across every listing on the platform. Eventboende administers them on your behalf but is not a party to the agreement and does not set them in its own name.

Eventboende may withhold a payout as security for a refund you may owe the guest under the terms, for as long as a cancellation or complaint case is open. The withholding ends when the case is closed and never covers more than the amount in dispute.

4.4 For guests

As a guest you agree to:

  • Treat the accommodation with respect
  • Follow the host's house rules
  • Leave the accommodation in good condition on check-out
  • Pay for the booking via the platform's payment link within the stated deadline
  • Communicate openly and honestly with the host

5. Prices and VAT

All prices are stated in Swedish kronor (SEK) and represent the amount you as guest will pay — no additional charges beyond what is shown in the price summary before a booking is confirmed.

Accommodation is rented out by private individuals and associations. For most hosts no VAT applies to the accommodation itself: letting your own home on isolated occasions around an event is not normally the kind of VAT-liable room letting carried out as a hotel or similar business, and a host whose letting does have that character is as a rule still exempt as long as turnover stays below the SEK 120,000 registration threshold. Non-profit associations are normally not liable for VAT on their activities.

The platform currently supports only hosts who are not VAT-registered for their letting. If you are VAT-registered, or become so while your listing is published, contact us before letting again through the platform.

The service fee charged by Eventboende Sverige AB is added on top of the host's price — it is not deducted from the host's share — and is stated inclusive of 25% Swedish VAT.

The receipt is split by seller: the accommodation, cleaning fee and add-ons are stated in the host's name, while the service fee is stated in the name of Eventboende Sverige AB. A receipt with itemised VAT can be provided on request.

6. Delivery of accommodation

The service you book consists of the right to use the booked accommodation between the dates shown in the booking confirmation. Delivery takes place at the host's property from check-in time to check-out time as stated in the booking. Exact times are shown in the listing and in your booking confirmation.

6.1 Check-in, access and check-out

  • Check-in and check-out take place according to the times stated in the booking confirmation.
  • The host is responsible for providing access information (e.g. key, key code or personal handover) to the guest before the stay. Eventboende provides the host's contact details in the booking confirmation.
  • Late arrivals are handled in the first instance by the host according to their terms. If the host is unreachable, the guest may contact Eventboende for assistance.

6.2 Failed delivery

If the accommodation cannot be provided at check-in, the service is deemed undelivered and the matter is handled through the complaints procedure. Contact us immediately at support@eventboende.se or +46 73-313 70 06.

6.3 No-show

If the guest does not check in at the agreed time and does not contact the host, the accommodation is considered delivered as per the booking.

7. Payment

When a host accepts a booking request, the booking is confirmed with payment status awaiting payment. The guest then receives a payment link from Eventboende and must pay the full amount within the deadline applicable to the booking.

  • For bookings made more than 30 days before check-in, the payment window opens 45 days before check-in and payment must be completed no later than 30 days before check-in
  • For bookings made 30 days or fewer before check-in, payment must be completed within 48 hours
  • Payment must always be completed before check-in
  • If payment is not completed in time, the booking is automatically cancelled
  • The total amount may include a service fee shown before payment
  • Card payments are processed via an external payment provider. Eventboende does not store the guest's card details
  • Payment is received in the host's name and on the host's behalf and discharges the guest's obligation to the host. Nothing further is owed to the host on arrival
  • Eventboende forwards the host's share after the stay is completed. Until then the funds are held as a liability to the host

7.1 Right of withdrawal

Under the Swedish Distance Contracts Act (2005:59), consumers normally have a 14-day right of withdrawal for distance contracts. However, the right of withdrawal does not apply to contracts for accommodation on a specific date or during a specific period (Chapter 2, Section 11(1)(12) of the Distance Contracts Act).

Since all accommodation bookings via Eventboende relate to specific dates, these bookings fall within the statutory exemption — the statutory right of withdrawal therefore does not apply to accommodation bookings with us.

Instead, you have the right to cancel in accordance with the cancellation terms below, which allow for a refund if cancellation is made sufficiently in advance of check-in.

7.2 Cancellation and refunds

Since the statutory right of withdrawal does not apply to accommodation bookings (see section 7.1 above), the following cancellation terms apply between the guest and the host instead. They are identical across every listing on the platform and are accepted by the host when a listing is published and again on each accepted booking request. Eventboende administers them on the host's behalf:

  • Before payment: cancel for free at any time
  • 14 days or more before check-in: 50% refund
  • Less than 14 days before check-in: no refund

The service fee is non-refundable.

Refunds by fee type

  • Accommodation price. 50% is refunded if the guest cancels at least 14 days before check-in. No refund for later cancellations. If the host cancels, the accommodation price is refunded in full. For shortened stays, a proportional refund may be issued depending on the circumstances.
  • Add-on fees (cleaning fee, breakfast, bed linen, towels). Always refunded in full on cancellation, regardless of timing, as these fees cover services not yet performed.
  • Service fee. Not refunded on guest cancellation. Refunded in full if the host cancels. In the event of an approved complaint, all or part of the service fee may be refunded depending on the nature of the matter.

Eventboende may make exceptions in special cases, for example in the event of obvious errors, duplicate charges or other extraordinary circumstances. Compensation beyond what the terms above provide requires either the host's approval or that Eventboende bears it out of its own service fee — such compensation is never deducted from the host's share without the host's consent.

Refunds are issued by Eventboende out of the funds received on the host's behalf, currently processed manually, normally via Swish or bank transfer, at no extra cost to the guest.

7.3 Recovery of reversed payments

If a card payment is reversed through a chargeback after payout to the host, Eventboende is entitled to recover the corresponding amount together with any fees charged by the payment provider. Eventboende may set the claim off against upcoming payouts to the host, or invoice it if no such payouts exist.

Eventboende contests the dispute where the documentation supports doing so. The host shall provide the documentation needed on request, and the claim lapses if the dispute is won.

8. Our commitments to you as a guest

Eventboende is an intermediary service — not the provider of the accommodation. The accommodation agreement is made directly between you and the host. Within our role as intermediary, we commit to:

  • Listings represent the accommodation: Every listing is published by a registered host. We expect the accommodation to match the listing; in the event of material discrepancies the host is responsible and we will assist you.
  • Secure payment: You pay through the platform's payment link, by Swish or card. No hidden charges — you pay exactly the amount shown before you complete the payment. Your payment to us discharges your obligation to the host, which means you should not pay anything further on arrival. The host's share is forwarded only after the stay is completed, and is held for as long as a cancellation or complaint case is open so that any refund you are entitled to can be issued.
  • Support when things go wrong: If anything deviates from what was agreed, contact us at support@eventboende.se or +46 73-313 70 06. We commit to handling your case, issuing the refund that follows from the terms and, where needed, helping you find alternative accommodation.
  • Protected personal data: Your data is handled in accordance with GDPR and our Privacy Policy.

8.1 Warranties

Eventboende is an intermediary service and does not provide its own warranties regarding the condition, standard or suitability of accommodation. Responsibility for the accommodation matching the listing rests with the host.

If the accommodation materially deviates from what was promised in the listing at check-in or during the stay, Eventboende will assist you as a guest through the complaints procedure in section 9 below. Depending on the nature of the discrepancy, this may result in a partial or full refund.

9. Complaints

If the accommodation materially deviates from the listing at check-in or during the stay, or if another defect occurs for which the host is responsible, you have the right to make a complaint.

How to make a complaint:

  1. Contact us as soon as possible — ideally while you are still on site so we can try to resolve the situation immediately. Complaints must be made during the stay or at the latest 48 hours after check-out.
  2. Send your case to support@eventboende.se or call +46 73-313 70 06. Include your booking number, a description of the issue and photos if possible.
  3. We will normally confirm receipt within three (3) business days and may request additional information (e.g. further photos or the host's comment).
  4. We assess the case against the listing and the terms applying between you and the host, and communicate the outcome within a reasonable time once all documentation has been received. The outcome may be no refund, a partial refund or a full refund, depending on the nature and extent of the discrepancy. Any refund is issued by us out of the funds received on the host's behalf.
  5. Our assessment is not binding on you. If you are not satisfied, you may take the matter up with the host directly or with the Swedish National Board for Consumer Disputes as described in section 11.

Costs: There is no charge to make a complaint. If a complaint is approved, a refund will be issued as determined — the guest incurs no additional costs.

While a complaint is ongoing, Eventboende Sverige AB holds the host's payout as security for a possible refund until the matter is resolved. The withholding never covers more than the amount in dispute.

10. Limitation of liability

Eventboende is provided "as is". We are not liable for:

  • The quality, safety or legality of accommodation or services
  • Acts or omissions by hosts or guests
  • Fraud or unauthorised actions beyond our control
  • Personal injury or property damage
  • Technical problems, downtime or loss of data
  • Lost profits or indirect damages

The agreement between guest and host is separate from these Terms. Eventboende is not a party to that agreement.

10.1 Indemnification

You agree to indemnify and hold harmless Eventboende, its owners, employees and partners from all claims, losses, damages, costs and expenses (including reasonable legal fees) arising from:

  • Your use of the service
  • Breach of these Terms
  • Infringement of third-party rights
  • Your content or listings on the platform
  • Disputes between you and other users

11. Disputes

Disputes between guests and hosts should in the first instance be resolved directly between the parties. If a resolution is not reached, Eventboende Sverige AB will mediate and guide the parties based on booking documentation, payment status and the terms applying to the booking. Our mediation is advisory and does not bind the parties.

As a consumer you may have a dispute reviewed free of charge by the Swedish National Board for Consumer Disputes (ARN), Box 174, 101 23 Stockholm, www.arn.se. We comply with ARN's recommendations.

12. Account termination and misuse

We reserve the right to:

  • Suspend or remove accounts that violate these Terms
  • Remove content that is inappropriate or violates laws
  • Deny access to the service without explanation

You may close your account at any time by contacting us.

12.1 Prohibited conduct

You may not use Eventboende to:

  • Post false, misleading or fraudulent listings
  • Impersonate any other person or organisation
  • Collect personal data without consent
  • Send unsolicited advertising or spam
  • Attempt to manipulate reviews or ratings
  • Circumvent or disrupt the platform's technical functions
  • Commit or facilitate illegal acts
  • Harass, threaten or discriminate against other users

Violations may result in immediate suspension and, in serious cases, legal action.

13. Copyright and content

By publishing content on Eventboende (e.g. photos, descriptions) you warrant that you have the right to use that content and grant Eventboende a non-exclusive, royalty-free, worldwide licence to use, display, copy, modify and distribute the content:

  • On the platform and in connected services
  • For marketing purposes, including social media, newsletters and advertising
  • In press materials and third-party collaborations

This licence applies for as long as your content is published on the platform and for a reasonable period thereafter to allow removal from archives and marketing materials.

You retain ownership of your content and may remove it from the platform at any time. Upon removal, the right to use the content in new marketing contexts ceases, but already published material may remain.

14. Changes to Terms

We may update these Terms. For material changes we will notify you by email or through a notice on the platform. Continued use of the service after changes constitutes acceptance of the updated Terms.

15. Communication and marketing

By registering an account on Eventboende you consent to us sending:

  • Service messages: Necessary notifications about your booking, your account and important service updates
  • Marketing: Newsletters, offers and information about Eventboende (you may unsubscribe from marketing communications at any time)

Service messages cannot be disabled while you have an active account, as they are necessary for the service to function.

16. Governing law

These Terms are governed by Swedish law. Any disputes shall be resolved in Swedish courts.
